PASL 10 Year Anniversary Video: Request for Proposals

The purpose of this Request for Proposal (RFP) is to solicit proposals from qualified firms to provide video production services, including shooting, editing, and finalizing content.
PASL is seeking proposals from vendors to produce a short documentary, no longer than 15-minutes highlighting PASL’s programs and history, along with a shorter 5-minute edit and three 15 to 30-second “sizzle reel” edits for release on social media. The 5-minute video will be screened at an event in early October 2025; the full documentary video will be released in mid-October 2025 on the PASL website; and the sizzle reel edits will be released on PASL’s social media platforms over September to early October 2025.
Proposals are due by 11:59 PM Eastern, May 23, 2025.

The Philadelphia Academy of School Leaders (PASL) is a Philadelphia-based non-profit that provides high-quality, research-driven professional development to the school and system leaders who transform schools, dramatically improving student outcomes in Philadelphia. Founded in 2015, PASL provides cutting edge professional development training to ensure Philadelphia educators are best prepared at all stages of their career to support our students. Our programming includes: our flagship two-year Neubauer Fellowship program for current school principals, the Instructional Leadership Academy, ongoing support and training for Senior Fellows who have completed their Neubauer Fellowship, and Leaders of Leaders support for associate superintendents and school system leaders.
Our 10 Year Video
In celebration of our 10-year anniversary, PASL plans to release a short 15-minute documentary highlighting the organization’s founding, programming, and impact. The video will feature interviews with the PASL Executive Director, 2-3 select board members, program alumni from across our ten years, and Philadelphia students. Additionally, the content will include motion graphics illustrating PASL data points, such as the number of Fellows, students impacted, types of school systems served by PASL, and locations of schools served by PASL (all data points will be provided by PASL).
In addition, PASL is hosting an anniversary dinner early October 2025, featuring a high-profile speaker. At the start of the event, we will screen a 5-minute short edit of the documentary.
Schedule of Events:
- Release of RFP: May 8, 2025

- Target Award Date: May 30, 2025
Scope of Services
The selected vendor shall have the ability to:
- Shoot on site at the PASL offices or off-site locations. These locations may include Philadelphia-based schools led by PASL Fellows
- Provide all equipment and staffing necessary for a successful shoot
- Provide all video editing, with the final videos rendered in high quality for both web and television broadcasting
- Provide final videos in a video format compatible with the PASL website and social media pages
- Provide creative and professional guidance to ensure a high-quality product is produced during each shoot
- Confer with PASL staff to create a pre-production outline to define the narrative structure of the documentary
- Work cooperatively with multiple PASL staff
- Meet established deadlines for projects
Additional requirements:
- Upon completion of the project and final payment, selected vendor will deliver all original footage to PASL
- Videographers will not be allowed to add or embed photographs with branding captions or watermarks on images provided to PASL, but the photographer can embed their brand or watermark on images used as samples when soliciting professional work
- PASL holds all rights to alter and use any final images and videos
The video producer must have a production facility and equipment to produce the elements of these videos, including but not limited to, voice over, lighting, graphics, stock images, animations, editing, and music.
Submission Instructions
Applicants must submit the following documents to be considered complete and competitive:
Section One: Letter of Interest. We are seeking comprehensive and informative proposals that clearly outline your ability to meet our requirements. The letter should include:
- A detailed explanation of why you’re a good fit for our project. Please describe your vision for the videos, unpacking the creative direction and concepts you would bring to this project.
- A timeline from execution of contract to final delivery of videos with specific milestones including (but not limited to): kickoff meeting, in-person interviews, storyboarding process, delivery of drafts, comment periods, and final delivery.
Section Two: Budget Proposal. A detailed summary of costs for your services, which should include a breakdown of both product and service costs as well as any anticipated travel expenses. If any phases of the project need to be subcontracted to another party, you should also include estimated costs for those services.
Section Three: Samples of Work. A minimum of three (3) relevant projects with samples of images or a link to an online portfolio showcasing your work.
Section Four: References. Contact information for three (3) professional references. Please include their professional title, email address, and phone number.
Section Five: Other Information. Any additional information that you believe may assist in the evaluation of the proposal.
